Scope of this Policy

2.4 Subject to certain exceptions (e.g., the personal information is necessary to provide the service or product, or withdrawal of consent would frustrate compliance with a legal obligation), customers may deny or withdraw their consent for CIS to use their personal information in specific ways. A customer's decision to withhold or withdraw consent to specific uses of personal information may restrict our ability to provide a particular service or product. If so, we will explain the situation to help the client decide.

2.5 We may collect, use, or disclose personal information without the customer's knowledge or consent in the following limited circumstances:

  • When the collection, use, or disclosure of personal information is permitted or required by law;
  • In an emergency that threatens a person's life, health, or personal safety;
  • When personal information is available through a public source (e.g., a telephone directory);
  • When we require legal advice from an attorney;
  • To collect a debt;
  • To protect us from fraud;
  • To investigate an anticipated breach of an agreement or a violation of the law.

Policy 3 – Use and Disclosure of Personal Information

3.1 We will only use or disclose customer personal information where it is necessary to fulfill the purposes identified at the time of collection or for a purpose reasonably related to those purposes, such as:

  • Conducting customer surveys to improve the delivery of our services;
  • To contact our customers directly about products and services that may be of interest to them;

3.2 We will not use or disclose customer personal information for any other purpose unless we obtain consent.

Policy 4 – Retention of Personal Information

4.1 If we use the customer's personal information to make a decision that directly affects the customer, we will retain that personal information for at least one year to give the customer a reasonable opportunity to request access.

4.2 Subject to policy 4.1, we will retain customer personal information only for as long as necessary to fulfill the identified purposes or a legal or business purpose.

Policy 5: Ensuring the Accuracy of Personal Information

5.1 We will make reasonable efforts to ensure that the customer's personal information is accurate and complete to decide whether the customer should be disclosed to another organization.

5.2 Customers may request that their personal information be corrected to ensure its accuracy and completeness. The request must be made in writing and provide sufficient detail to identify the personal information and the correction being requested.

5.3 If the personal information is shown to be inaccurate or incomplete, we will correct it as necessary and send the corrected information to any organization to which we disclosed the personal information in the previous year. If the correction is not made, we will note the client's request for correction in the file.

Policy 6 – Protection of Personal Information

6.1 We are committed to ensuring the security of customer personal information and protecting it from unauthorized access, collection, use, disclosure, copying, modification, deletion, or similar risks in line with the scope of our WEB TO INFORMATION QUALITY MANAGEMENT SYSTEM.

6.2 We will continually review and update our security policies and controls as technology changes to ensure the security of personal information.

Policy 7 – Provide Customers with Access to Personal Information

7.1 Customers can access their personal information, subject to limited exceptions. Some examples include attorney-client privilege, disclosure that would reveal personal information about another person, and health and safety concerns.

7.2 A request for access to personal information must be made in writing and provide sufficient detail to identify the personal information sought.

7.3 Upon request, we will also inform customers how we use their personal information and to whom it has been disclosed, if any.

7.4 We will make the requested information available within 30 working days or provide written notice of an extension where additional time is required to comply with the request.

7.5 If the request is made electronically, we will provide the data in an accessible electronic format.
